We may collect information directly from you, automatically through website technologies, or through third-party providers supporting our operations, including:

  • Contact information — your name, email address, and optional phone number
  • Professional information — your role, practice setting, and other information you choose to share as a clinician participant
  • Assessment and quiz responses, including responses to the Clinician Prosperity Profile Quiz, the TBIR Journey Compass, and related questionnaires or reflection exercises
  • Payment and transaction information processed through our third-party payment processor (Stripe, PayPal, or Squarespace Payments — to be confirmed)
  • Scheduling and calendar information related to sessions, workshops, or consultations
  • Communications you submit through forms, email, or program materials
  • Standard analytics, cookies, device identifiers, browser information, IP address data, and website activity

How We Use Information

Information collected may be used to administer the TBIR program and related cohort experiences, workshops, and offerings; facilitate scheduling and communications; process transactions; provide customer support; personalize your learning experience; administer and score assessments and quizzes; facilitate AI-supported interactions where applicable; improve website functionality and user experience; maintain operational and business records; comply with legal obligations; protect platform integrity; and communicate with you regarding services, resources, events, and related offerings.

Cookies, Analytics & Website Activity

Our website may utilize cookies, analytics technologies (including Google Analytics), pixels, session tracking tools, and similar technologies to understand visitor engagement, website performance, and user interactions with content and services. These technologies may collect browser type, operating system, device identifiers, referral pages, approximate geographic location, interactions with content, and session duration. Email Marketing, Communications & Consent

If you submit a form, enroll in a program, subscribe to resources, request information, or otherwise engage with our Services, you may receive newsletters, educational content, service announcements, promotional communications, and event information. In compliance with the CAN-SPAM Act, every email we send clearly identifies who it is from and provides a way to contact us, along with a working unsubscribe link. Opting out of marketing communications does not prevent receipt of transactional, operational, or program-related communications necessary to administer a purchase, enrollment, or active engagement. If you are located in the European Union, we will only enroll you in marketing communications with your affirmative consent.

Payment Processing

Payment transactions are processed through a third-party payment processor (to be confirmed). We do not store full payment card numbers on our internal systems or servers. Payment information you submit is subject to that processor's own privacy and security practices, and we encourage you to review them directly.

Third-Party Platforms & Service Providers

We may share information with trusted third-party vendors and operational partners necessary to support our Services, including Squarespace (website and course hosting), JotForm (quiz and assessment delivery), Delphi.ai (Dr. Cara's Virtual Mind AI-supported coaching tool, offered as a program bonus), Google Workspace (communications and operations), and Zoom or similar platforms (live workshops and sessions), along with our payment processor named above. Third-party providers maintain their own independent privacy and operational practices.

AI-Supported Interactions (Virtual Mind)

Virtual Mind is an AI-supported coaching tool hosted through Delphi.ai and offered as a program bonus. If you interact with Virtual Mind, please avoid submitting highly sensitive, confidential, medical, therapeutic, legal, or financial information. AI-supported tools are evolving technologies and may not always provide complete, accurate, or contextually appropriate responses.

Please note: you should not assume that information shared through Virtual Mind, website forms, or standard email is protected by privileges associated with a therapist–client, physician–patient, or similar legally protected relationship.

No Emergency or Crisis Services

Our website, program materials, Virtual Mind, and related Services are not intended for emergency response, crisis intervention, mental-health treatment, or urgent support. If you are experiencing a mental-health crisis or a situation requiring immediate professional intervention, please contact appropriate emergency responders or a licensed professional directly.
